This Privacy Policy describes how the Club Car Dispatch System ("the Application") collects, uses, and stores personal data of its users. The Application is operated exclusively for internal use within the resort premises and is accessible only to authorized staff.
2. Data Controller
The resort ("the Resort") is the sole data controller for all personal data processed through the Application. The Application provider processes data strictly on behalf of and under the instructions of the Resort.
3. Data We Collect
The Application collects and processes only the following personal data:
Full name in Latin characters, collected for account creation and identification purposes.
Username (nickname) derived from the user's full name, used within the Application.
Time of request submission and completion
Duration of request fulfillment
Username of the staff member who submitted the request and the assigned driver
No sensitive personal data is collected.
4. Purpose of Processing
Personal data is processed exclusively to manage and dispatch internal club car requests, monitor operational efficiency, and provide administrators with operational logs.
5. Legal Basis
Processing is based on legitimate interests of the Resort (Article 6(1)(f) GDPR) and contractual necessity (Article 6(1)(b) GDPR).
6. Data Retention
All personal data is retained for a maximum of 72 hours from the time of collection, after which it is automatically deleted.
7. Storage & Security
Data is stored on secure servers in Frankfurt, Germany (Render Services, Inc.), within the European Economic Area. No data is shared with third parties.
8. Your Rights
Under GDPR, you have the right to access, rectify, erase, restrict, or object to the processing of your personal data. Contact resort management to exercise these rights.
